Badminton Europe is seeking a Business Operations Manager for a full-time position to join its head office in Copenhagen, Denmark.

Business Operations Manager – Badminton Europe
 
Badminton Europe is the Continental Confederation administering the sport of badminton in Europe. There are currently 16 full time employees backing up an elected Board of Directors servicing our 53 Members. Information on the organization can be found here: http://www.badmintoneurope.com 

The Business Operations Manager will report to and provide administrative support to the General Secretary and will ensure that key services are delivered to an appropriate standard and within agreed timelines.
 
The work will include some travelling and some flexibility in working hours will be required.

Overall areas of responsibility
  • Working closely with the General Secretary to oversee and ensure the smooth operation of key functions within Badminton Europe and ensure a quality service for members. Monitor, review and refine the operations of Badminton Europe’s procedures and policies.
  • Act as a liaison for the General Secretary; schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes on behalf of the General Secretary. Adhere to compliance with applicable rules, polices regulations.
  • Complete a broad variety of administrative tasks that facilitate the General Secretary’s ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing claim reports.
  • Read documents and contracts and prepare executive summaries. Provide suggestions to process and improvements for legal documents.
  • Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect General Secretary’s style and organization policy.
  • Work closely with the General Secretary to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the General Secretary updated. Anticipate General Secretary´s needs in advance of meetings, conferences, etc. 
  • Coordinate all Management meetings and assist with staff meetings and events as needed. 
  • Coordinate the General Secretary´s outreach activities. Follow up on contacts made by the General Secretary to cultivate ongoing relationships. 
  • Manage all aspects of organization’s office services. Evaluate and assist in developing office policies and procedures for improved workflow and anticipate future needs as organization grows. Assist in the selection of vendors and purchase equipment, services, and supplies necessary for operation of organization. 
  • Manage information systems operations including hardware, software, strategic systems development and planning. Provide leadership to all levels of the organization, including the Management team, to meet their current and future information needs. Supervise consultants. Prepare budget recommendations. 
  • Other projects/duties as assigned for the overall benefit of the organization.
Qualifications
  • Strong ability to execute work with a diversity, equity, and inclusion lens. 
  • Significant executive support experience. 
  • Nonprofit board experience in particular in a sports organization would be an advantage. 
  • Expert proficiency with Microsoft Office and; ability to design and edit graphic presentations and materials.
  • Technical proficiency and problem-solving skills related to: IT infrastructure; IT support and troubleshooting; and cloud-based environments (web-based applications). 
  • Strong verbal and written communication skills. 
  • Exceptional organizational skills and impeccable attention to detail.
  • High degree of professionalism in dealing with diverse groups of people, including Board members, senior management, staff, member organisations and partners. 
  • Make appropriate, informed decisions regarding priorities and available time. 
  • Ability to complete a high volume of tasks and projects. 
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround. 
  • Able to maintain a high level of integrity and discretion in handling confidential information.
The successful candidate will have to re-locate to Copenhagen and should have the necessary work permission in the EU to be considered for the job.
